1. Who we are
Aisely ("Aisely", "we", "us", "our") operates Aisely CRM, a customer relationship management platform (available at crm.aisely.in) that helps businesses ("Business Customers", "you", "your organisation") manage sales leads and customer conversations, including messaging over the WhatsApp Business Platform. Aisely is based in Ahmedabad, India.
This Privacy Policy explains what information we collect, how we use it, and the choices you have — whether you are a Business Customer using Aisely CRM, or an end customer messaging one of our Business Customers over WhatsApp.
2. Information we collect
We collect the following categories of information:
- Account information: name, email address, phone number, and role, provided when a Business Customer or their team members sign up for or are added to Aisely CRM.
- Lead & contact information: names, phone numbers, email addresses, and enquiry details that a Business Customer collects about their own prospective or existing customers (through website forms, Meta/Google ad leads, WhatsApp, or manual entry).
- Message content: the content of WhatsApp messages, message templates, and delivery/read status, exchanged between a Business Customer and their customers through the Aisely CRM WhatsApp inbox.
- Call data: where enabled by a Business Customer, call logs, call duration, and (with consent) uploaded call recordings and their AI-generated transcripts/summaries, used to help sales teams review and improve customer conversations.
- Usage data: log data such as IP address, browser type, device information, and pages visited, collected automatically when you use our website or CRM.
3. WhatsApp Business Platform & Meta data
Aisely integrates with the WhatsApp Business Platform, operated by Meta Platforms, Inc. ("Meta"), to let each Business Customer send and receive WhatsApp messages with their own customers from within Aisely CRM.
Each Business Customer connects and remains the owner of their own WhatsApp Business Account (WABA). Aisely acts as a technology provider processing WhatsApp message data on behalf of that Business Customer, strictly to deliver the messaging feature of the CRM — we do not use this data for our own independent marketing purposes, and we do not sell WhatsApp message content or contact data to third parties.
Messages sent and received through this integration are also subject to WhatsApp's own Privacy Policy and Meta's Privacy Policy, which govern how Meta itself processes data as the underlying messaging infrastructure provider.
4. How we use information
We use the information described above to:
- Provide, operate, and maintain the Aisely CRM platform, including lead management, WhatsApp messaging, call analytics, and reporting features;
- Route incoming WhatsApp messages and leads to the correct Business Customer and their assigned agent;
- Generate AI-assisted call transcriptions and quality summaries, where a Business Customer has enabled this feature;
- Authenticate users and secure accounts;
- Communicate with Business Customers about their account, updates, or support requests;
- Monitor, troubleshoot, and improve the security and performance of our platform;
- Comply with legal obligations and enforce our Terms & Conditions and WhatsApp's Business Policy.
5. Legal basis for processing
Where applicable data protection law requires a legal basis, we rely on: performance of our contract with the Business Customer; the Business Customer's own legal basis (such as consent or legitimate interest) for processing their end customers' data, for which the Business Customer is the data controller and Aisely is the data processor; our legitimate interests in operating and securing our platform; and compliance with legal obligations.
6. How we share information
We do not sell personal information. We share information only in the following circumstances:
- With Meta / WhatsApp, as necessary to deliver messages through the WhatsApp Business Platform on behalf of a Business Customer;
- With service providers who help us operate our platform, such as cloud hosting, AI transcription (e.g. Sarvam AI, OpenAI), and email delivery providers, bound by confidentiality and data-processing obligations;
- Within a Business Customer's own organisation, so their team members can access leads and conversations relevant to their role;
- If required by law, such as in response to a valid legal request from a court or government authority; or
- In connection with a business transaction, such as a merger or acquisition, subject to standard confidentiality protections.
7. Data retention
We retain personal information for as long as a Business Customer's account remains active, and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. A Business Customer may request deletion of their organisation's data at any time by contacting us, subject to any legal retention requirements.
8. Security
We use industry-standard safeguards to protect information, including encrypted storage of sensitive credentials, encrypted connections (HTTPS/TLS) between your device and our servers, and role-based access controls limiting who can view data within an organisation. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your rights & choices
Depending on your location and applicable law, you may have the right to access, correct, export, or request deletion of your personal information. If you are an end customer of one of our Business Customers, please contact that business directly, as they control how your data is used. If you are a Business Customer or a member of their team, you may exercise these rights by contacting us at the email below or through your account settings.
10. Children's privacy
Aisely CRM is intended for business use and is not directed at, and should not be used by, individuals under the age of 18. We do not knowingly collect personal information from children.
11. International data transfers
Our infrastructure is primarily hosted in data centres serving the Indian market. Where information is transferred internationally (for example, to sub-processors located outside India, including Meta as the WhatsApp Business Platform provider), we take steps to ensure appropriate safeguards are in place consistent with applicable law.
12. Cookies
Our marketing website (aisely.in) uses only essential technical functionality and does not set non-essential tracking cookies. The Aisely CRM application (crm.aisely.in) uses strictly necessary session storage to keep you signed in; it does not use third-party advertising cookies.
13. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify Business Customers directly. Continued use of Aisely CRM after changes take effect constitutes acceptance of the revised policy.
